Your responsibilities include:
- π§ Email & Inbox Management
- Manage and organize an inbox of 10,000+ messages, triaging and prioritizing daily
- Implement systems for Inbox Zero β including filters, folders, and action categories
- Draft and proofread responses with impeccable grammar and tone; send on behalf of the CEO with approval
- Read and transcribe dictated responses while the CEO is traveling or driving
- Alert the CEO to urgent emails and follow through on pending items
- Unsubscribe from irrelevant lists and ensure professional correspondence standards
- π Calendar & Meeting Management
- Own scheduling, rescheduling, and coordination for a packed executive calendar
- Block time for focused work and travel, avoiding conflicts and double bookings
- Prepare meeting briefs, research attendees, and ensure all materials are ready in advance
- Coordinate internal participation and track post-meeting action items
- π Organization, Systems & Task Tracking
- Build and maintain a task tracking system for to-dos, key deadlines, and project milestones
- Document and standardize internal processes (SOPs)
- Follow up on commitments and ensure accountability across teams

- Handle all aspects of business travel: flights, car rides, itineraries, and scheduling meetings while away
- Update the calendar with detailed travel logistics and agendas

- Track and categorize 25β30 monthly receipts for expense reports
- Communicate with accounting to ensure all transactions are logged and verified
- Flag missing receipts and help distinguish between business and personal expenses
- π Research & Reporting
- Conduct research on investments, projects, and market opportunities
- Prepare concise summaries for decision-making
- Support political, industry, and permit-related research when required.

- Handle confidential data, including capital calls, financial statements, and wire confirmations, with utmost discretion
