Responsibilities of the Executive Assistant:

Your responsibilities include:

  • 📧 Email Management
    • Review and filter incoming emails (3x daily) to maintain a clean and organized inbox, ensuring "Inbox Zero" status
    • Organize 30-40% of emails from the internal team to clients with no action required from the CEO
    • Respond to action items from internal team members on behalf of the CEO, ensuring clear communication and timely responses
    • Respond to emails from past and potential clients on behalf of the CEO, maintaining professionalism and promptness
    • Filter out junk emails and assess the urgency of incoming messages to prioritize appropriately
    • Draft professional, typo-free emails on behalf of the CEO, ensuring clear and consistent messaging
    • Send congratulatory emails to clients after each event to maintain strong client relationships.

  • 📅 Calendar Management:
    • Ensure there are no double-bookings or conflicts in the CEO’s calendar
    • Protect the CEO’s time by ensuring adequate time for breaks and preparation between meetings
    • Establish reminders for important deadlines and key events to keep the CEO on track

  • 🗂 Administrative Support:
    • Input contact information into the CRM system (Bigin, similar to Zoho/HubSpot), ensuring accuracy and completeness
    • Keep digital files and documents organized and up to date, ensuring ease of access for all team members
    • Upload contracts and ensure they are filed correctly for future reference
    • Maintain up-to-date spreadsheets for tracking various business activities
    • Add email addresses to Mailchimp for email marketing campaigns
    • Assist with logistics for events, including hotel bookings, vendor coordination, and communication with event locations and vendors
    • Develop skills in proposal creation, eventually taking on more responsibility in this area.

  • 📋 Task Coordination:
    • Identify and distill action items from incoming emails
    • Use project management tools to assign tasks, monitor progress, and ensure that deadlines are met
    • Track progress on ongoing projects and milestones, providing updates to the team to ensure timely completion
    • Ensure that all deadlines are met, proactively managing any potential delays

  • 🧑‍💼 Meeting Support:
    • Attend and actively participate in the Monday Huddle (team meeting), providing updates as necessary
    • Review meeting recordings and transcripts to distill key action items for the CEO
    • Review action items captured by other team members and take on to-dos for the CEO
    • Assist in completing or delegating action items for the CEO and other team members to ensure smooth team operations

  • 📱 Growth Areas:
    • Social Media Management:
      • Assist with posting on LinkedIn to enhance the company’s online presence
    • Business Development via LinkedIn:
      • Drive business growth through LinkedIn outreach and services
    • Website Updates:
      • Assist with updates and content management on the company website
