Your responsibilities include:
- Data Entry & Contract Management:
- Maintain accurate records for all client trackers with deal details and status updates
- Track contract milestones: sent, signed, and updated based on communication
- Upload contracts to SigNow and fill templates when needed
- Record contract details: brand info, retainer, commission, deliverables, platform, discount codes, product briefs, and payment details
- Ensure contracts are signed within one week and reflect updates in trackers
- Email & Communication Management:
- Organize and manage inbox, sending and responding to emails as needed
- Send SOP emails to clients for new brand deals and gather additional details
- Handle client follow-ups and communication, including texting and confirming product deliveries
- Collect feedback on products from clients and ensure all communication is noted
- Calendar & Event Management:
- Schedule meetings and set reminders for the client and influencers.
- Duplicate and manage monthly calendar events for ongoing partnerships
- Add important contract dates (e.g., expiration) to calendars and flag reminders
- Audit and update monthly calendar events from client trackers
- Client Relationship & Deal Management
- Keep brand portfolio trackers updated daily with deal statuses and communications
- Coordinate product sends and restocks with brands and inform clients.
- Provide weekly deal follow-up summaries to the client
- Gather upcoming promo details from brands and update trackers and calendars
- Update client follower count at the start of each month
- Billing & Invoicing:
- Send monthly invoices to all brands for active contracts.
- Include W-9 and banking information with the first invoice to ensure smooth payment processing
- Follow up with the client to ensure invoices are paid and notify the client of any outstanding payments
- Special Projects:
- Maintain and update the brand rolodex weekly with new deal information, including links, categories, and contact details
- Assist with event planning, fundraisers, and other ad-hoc projects as needed
