Responsibilities of the Executive Sales Assistant:

Your responsibilities include:

  • Lead and Opportunity Management
    • Lead Qualification & Follow-Up:
      • Assess and filter leads to categorize them as either dead leads or genuine opportunities:
        • Confirm that the lead represents an integration company in need of marketing assistance
        • Gather key lead information: revenue, location, and company size
      • Track and prioritize opportunities based on predefined criteria, ensuring follow-up and advancement in line with monthly and quarterly targets
      • Confirm meetings at the start of each day and quickly respond to new leads entering the CRM, aiming to contact them within 24 hours
      • Call leads that are actively coming in, ensuring quick and responsive follow-up, and schedule/reschedule meetings as needed
    • CRM Management:
      • Follow up with leads to ensure continued engagement and move them through the sales pipeline
      • Maintain CRM entries, ensuring lead statuses are updated regularly
      • Take detailed notes during calls and input them into the CRM for accurate tracking
      • Support scheduling internal and client meetings, ensuring optimal timing and coordination
    • Meeting Coordination & Follow-Up:
      • Schedule, confirm, and reschedule meetings as needed
      • Provide timely reminders for all parties involved to ensure punctuality and preparedness
      • Attend meetings, take notes, and manage follow-up steps.
      • Keep CRM updated with meeting details and subsequent action items

  • Task and Project Management
    • Daily Task Planning & Follow-Through:
      • Ensure the client remains focused on high-value goals and prospects, actively supporting the achievement of strategic milestones within the established gameplan
      • Ensure relentless follow-up via phone, email, and text with high-value prospects to secure meetings and advance them to the next stage
      • Ensure that all tasks are completed on time with thorough follow-through
      • Conduct daily check-ins to clarify goals and align priorities for the day
      • Provide clear reminders for pending tasks
      • Document follow-up items and stay on top of all tasks
    • Project Documentation & Organization:
      • Document and organize weekly projects as they arise, developing clear action steps
      • Track all progress and ensure that projects are efficiently closed once completed

  • Email and Communication Management
    • Email Organization & Task Tracking:
      • Organize and manage email folders, removing unnecessary emails and moving relevant content into designated folders
      • Identify and extract key tasks or information from emails and add them to task trackers
      • Pull out key pieces of information that the client needs to see and highlight tasks that need action
      • Ensure all tasks that come through email are tracked and prioritized accordingly

  • Corporate/Manufacturer Program Coordination (Advanced Responsibilities)
    • Book discovery calls with manufacturer affiliates and assist in expanding into running these calls independently
    • Coordinate marketing promotions and outreach programs, creating and tracking opportunities in the CRM
    • Ensure opportunities are followed up on and that meetings or verbal closes are secured over the phone
