Responsibilities of the Executive Assistant:

Your responsibilities include:

  • Inbox Management & Prioritization:
    • Assist the CEO in maintaining a well-organized and efficient inbox
    • Prioritize, flag, and categorize important messages to ensure timely responses
    • Handle email responses and follow-ups as needed, ensuring key communications are addressed promptly

  • Meeting Coordination & Scheduling:
    • Coordinate internal meetings by contacting team members and arranging appointments
    • Facilitate external client bookings by sending Calendly links to streamline scheduling on the CEO's calendar

  • Meeting Support:
    • Attend meetings with the CEO and COO to observe key discussions and identify action items
    • Track and prioritize tasks resulting from meetings, ensuring follow-up actions are completed

  • Travel Management:
    • Manage travel arrangements, including booking flights, accommodations, and ground transportation
    • Ensure travel details are in line with the CEO’s schedule and preferences

  • Administrative & Personal Support:
    • Assist with a range of ad hoc administrative and personal tasks as they arise
    • Maintain an organized workflow for the CEO by efficiently managing day-to-day tasks

  • Financial Administration & Follow-Up:
    • Process receipts, and invoices, and maintain organized financial records
    • Follow up with customers to ensure timely payment and address any queries

  • Support for COO & Cross-Role Assistance:
    • Provide additional support to the COO by handling delegated tasks from the CEO
    • Ensure seamless coordination and continuity of work across both roles
